The challenge with many reports in different tools

Unifeeder has been working extensively with using data for business purposes for many years, and has over time used several different reporting platforms and developed the use of reports in all business areas. This means that there are many reports available to users both at the headquarter in Denmark and at locations in Europe, which can support business decisions. However, it also means that it may have been difficult for individual employees to find exactly what they needed.

Previously, the reports were available in a complex folder structure, so employees often used links in emails to access the report they knew they needed. This meant that they did not discover other relevant reports within the same area. At times, the central Performance Management team also received questions about what the individual report showed, what the purpose was, and where the data in the report came from.

Development of a central Information Hub for collecting all reports

Unifeeder wanted a central portal that could collect all reports across development tools, with support for users so they could easily get an overview of the range of reports within the data area that they were interested in. twoday kapacity had been exploring the market for a 'One-stop BI Portal', so they entered a collaboration to develop a twoday kapacity Information Hub for Unifeeder.

Most recently, the Information Hub has been further expanded in functionality to also show which reports others in the same department are using.

Unifeeder's requirements for the solution have been:

Central placement of reports with an easy and quick overview

Simple search function on key figures and analysis dimensions

Marking of favourite reports

Support for older reports from Tableau and in Excel and PDF format

Warnings to users, e.g. for non-updated data in reports

Direct access to cubes.

Great outreach to new users

At present, twoday kapacity Information Hub has been in use at Unifeeder for nearly 3 months, and more than 135 employees have logged in, with 30 of them being completely new report users.

In the first weeks after the launch, the Performance Management team was busy getting their colleagues on board with the Hub. Users needed help using the Hub, but also getting access to the report tools they had not previously used and now saw the value of.

"After go-live in week 3, we can already see in March that there have been 55% more views on Tableau reports this year than last year, and the feedback from users is really good – they find it easy to find the reports, understand the purpose, and get great value from being able to see where the data comes from."

Implementation of the solution

The solution currently contains 67 reports. Information about the purpose of the reports, source systems, key measures, and dimensions have been continuously entered by the five employees in the Performance Management team. Users were introduced to the Information Hub through emails, and from there the team approached individual users each time they had other occasions and introduced the Hub along with support for new reports. 

Through the Hub, the team can also monitor user adoption - daily, they monitor the number of visitors and their report views. Here, they can also see new users and proactively contact them to offer help. 

All reports are now uploaded centrally by the Performance Management team, but this can be expanded to cover other departments or all users. In that case, it will be clear who owns the report and whether it has been validated by the central team.

The collaboration with twoday kapacity

The collaboration between Unifeeder and twoday kapacity has been good from both sides. Unifeeder had very specific issues that needed to be solved in a simple and agile way, and twoday kapacity was able to challenge and find useful solutions during the development of the Information Hub:
